In-School Programming Terms & Conditions
By registering a child in any Explore It! Inc. (Explore It!) program you are agreeing to the following Policies, Terms and Conditions:
Privacy Policy:
At Explore It! Inc., we are committed to protecting the privacy of the families we serve. This policy outlines how we collect, use, protect, and share personal information, and what your rights are regarding that data.
1. How We Use Your Information
When you register a child in an Explore It! program, we collect personal information (such as names, contact details, medical or learning needs) to ensure a safe and high-quality experience. Your information may be shared with authorized personnel at your child’s school or with trusted third parties (e.g., our payment processor) only when required to provide our services or to comply with legal obligations.
We do not sell or share your information with third parties for marketing purposes.
2. How We Keep Your Information Safe
Explore It! takes your family’s privacy seriously. We have implemented secure data practices including encrypted data transfers, secure cloud storage, and limited access permissions. Payment processing is handled by third-party services (e.g., PayPal, Interac), so Explore It! does not store or view your credit card information.
While we follow best practices for data security, no system is completely immune to risk. In the event of a privacy breach that presents a real risk of significant harm, we will notify affected individuals and—if required—the appropriate privacy authorities.
3. Data Retention and Deletion
We retain your personal data only as long as necessary to deliver our services, meet legal requirements, or support program administration. When no longer needed, personal data is securely deleted.
4. Access and Correction Rights
You have the right to access, correct, or delete personal information we hold about you or your child. To make such a request, please contact us at register@exploreitall.ca. We are committed to handling these requests in a timely and respectful manner.
5. Challenging Our Privacy Practices
If you have concerns about how your information has been handled, you are encouraged to reach out. While we do not yet have a formal public process for privacy complaints, we take every concern seriously and will work with you to address it. Please contact a Director at register@exploreitall.ca.
6. Third-Party Service Providers
We work with a limited number of third-party providers (e.g., PayPal, Zoom, secure cloud storage) who support the safe delivery of our programs. These providers are contractually required to comply with privacy legislation. A list of core providers is available upon request.
7. Annual Policy Review
Explore It! reviews its privacy policies and internal practices annually to ensure alignment with Canadian legislation and evolving best practices. Our next scheduled review is June 2026.
Records Retention
Explore It! Inc. maintains internal procedures for the secure storage and timely deletion of personal information collected through registration, communication, and program delivery. We retain both paper and electronic records, including emails, only as long as necessary to support the operation of our programs, meet legal and financial obligations, and comply with relevant regulations.
Personal information is securely stored and access is limited to authorized personnel. Once records are no longer required, they are deleted or securely destroyed in accordance with our internal guidelines.
Parents and guardians may contact Explore It! at any time to request an update or correction to their personal information on file.
Communications:
We (Explore It!) use email as our primary method of communication. We use phone calls for urgent or sensitive matters. We do NOT communicate using text messaging.
Upon registering any child in any of our programs you agree to provide us with a valid email address and phone number that you (or a designated adult) will monitor each school day.
You also agree that you are responsible for ensuring that any emails from our exploreitall.ca domain are received by you (or a designated adult) and responded to upon request.

Email Communication & Anti-Spam Policy:
Explore It! is committed to respecting your privacy and complying with Canada’s anti-spam legislation (CASL).
We use email as our primary method of communication for program logistics, updates, and safety-related notices. You agree to provide an active, regularly monitored email address upon registration, and to ensure emails from the @exploreitall.ca domain are received and reviewed in a timely manner.
Operational Emails
For the safety and success of your child’s program, you may not unsubscribe from emails related to:
- Program schedules, links, or location changes
- Program updates or reminders
- Attendance confirmations or behaviour concerns
- Other critical day-to-day communications
If you need to change the main contact receiving these messages, please notify us in writing to transfer primary contact responsibility to another designated adult.
Promotional Emails
From time to time, we may send occasional emails about:
- New or upcoming programs and camps
- Special events or seasonal offerings
- Opportunities to register early
We do not share your contact information with third parties, and we do not send emails on behalf of outside businesses or organizations. Your contact information may be shared with your school’s administration.
If you no longer wish to receive promotional content, you may unsubscribe at any time by replying to any message with the word “unsubscribe.”
Program(s) Payments:
Payment in full is required at the time of online registration for all Explore It! programs. A child’s spot is not confirmed until the payment has been successfully processed and received.
Please note:
- All programs have enrolment limits and spaces are available on a first-come, first-served basis.
- Explore It! reserves the right to decline a registration if a program reaches capacity. In such cases, you will be notified and refunded.
- Explore It! may cancel a program that does not achieve minimum enrolment. In such cases you will be notified and refunded.
All payments are securely processed through third-party payment providers (such as PayPal or Interac). Explore It! does not store or access your credit card or banking details.
If you have questions about your payment or need assistance, please contact accounting@exploreitall.ca.
Transfers, Refunds and Credits:
We understand that plans can change. If you need to withdraw your child from a program, please email register@exploreitall.ca. All requests must be received in writing and are subject to approval by an Explore It! Director. Options may vary based on program timelines and availability.
1. Before the First Session
If you contact us at least 48 hours before the first scheduled class, you may be offered one of the following options:
- Transfer your child to another available program (with any difference in fee applied).
- Full program credit, issued as a credit code for future use.
- Partial refund, minus the transaction fee charged by our payment provider.
2. After the First Session but Before the Second Session
If you contact us at least 48 hours before the second scheduled class, you may be offered:
- A transfer to another available program, or
- A partial credit for the remaining value of the program.
3. After the Second Session
No refunds or credits will be issued after the second class.
In exceptional cases, and at the sole discretion of an Explore It! Director, a partial credit or transfer may be considered.
Registration and Payment Receipts:
Once your online registration has been processed, you will automatically receive a confirmation email from Explore It!. This message serves as your official registration confirmation and program receipt.
You will also receive a separate email from our third-party payment provider (e.g., PayPal or Interac) confirming your payment. This email serves as your proof of payment.
Please note:
- Program spots are not guaranteed until payment is received in full.
- No additional receipts will be issued beyond the confirmations noted above.
- If you do not receive a confirmation email, please check your spam folder and contact register@exploreitall.ca as soon as possible.
Photos and Recordings:
Explore It! Inc. may occasionally take photos or short video clips during programs for internal documentation, staff training, or promotional purposes such as brochures, school displays, or our website. By registering your child, you agree that:
- Your child may appear in photos or videos taken during programming.
- These images may be used by Explore It! for non-commercial promotional or archival use.
- No personal information will be shared alongside any images.
If you do not wish your child’s image to be used for promotional purposes, please notify us in writing at the time of registration.
Special Note for Musical Theatre Programs
Photographs and video recordings are an integral part of our Musical Theatre programs. They may be used for rehearsal review, internal documentation, and culminating presentations or showcases.
By registering your child in a Musical Theatre program, you acknowledge and accept that photos and video will be taken and cannot opt out of this aspect of participation.
Allergies/ Special Needs:
Explore It! aims to create a safe and inclusive environment for all children. To help us do so, it is essential that parents or guardians inform us of any allergies, medical conditions, or special needs their child may have at the time of registration.
Please note:
- If your child is at risk of anaphylaxis or asthma, you must provide them with an EpiPen and/or necessary medication, and ensure it is brought to every class.
- While we strive to maintain a nut-free environment, we cannot guarantee the absence of all allergens due to potential cross-contamination.
- Explore It! will make every reasonable effort to accommodate your child’s needs; however, we are not liable for any injury or reaction that may occur.
- For safety reasons, children with life-threatening allergies or medical conditions may not be eligible for certain programs (e.g., culinary classes).
Explore It! reserves the right to determine whether a child’s medical or behavioural needs can be safely supported within the program setting. If you have questions about your child’s participation, we encourage you to contact us in advance of registration.
Attendance and Pick ups:
Parents and guardians are responsible for notifying Explore It! in advance if their child will be absent from a scheduled program session.
Please ensure that:
- All contact information provided during registration remains current and accurate.
- You have listed any individuals authorized to pick up your child. Only adults aged 18 or older will be permitted to sign a child out of class.
- Any changes to your child’s authorized pickup list are submitted in writing to register@exploreitall.ca during the program term.
Late Pick Ups:
We ask that all children be picked up promptly at the end of each class.
If a child is not picked up on time:
- Late fees may apply.
- Repeated late pickups may result in the child’s withdrawal from the program without refund.
- If 30 minutes pass without contact from a parent or authorized adult, and the school is unable to continue supervision, Explore It! may notify appropriate authorities, including the police or Children’s Aid Society.
Suspended Children:
Children who have been suspended from school for any reason may not attend Explore It! programs for the duration of the suspension.
Discipline and Behaviour Management Policy:
Explore It! is committed to fostering respectful, inclusive, and safe learning environments for all participants. We believe children thrive when supported with clear expectations, positive role models, and compassionate boundaries.
Our Approach:
- Children are encouraged to express concerns and resolve conflicts using respectful verbal communication.
- Staff model positive language and guide children in understanding how their behaviour impacts others.
- Behavioural redirection focuses on actions, not identity. Children are always reminded that it is their behaviour being addressed—not who they are.
- Limits are set around safety, respect, and participation. These expectations are age-appropriate and consistently reinforced.
- If needed, children may be removed from an activity or given time and space to reset in a supervised environment.
Serious Behavioural Concerns:
- Explore It! will contact parents if a child’s behaviour significantly disrupts the program or puts others at risk.
- If a child repeatedly displays unsafe or disrespectful behaviour despite interventions, they may be withdrawn from the program. In such cases, no refund will be issued for missed classes.
- In rare and extreme situations where a child’s actions pose immediate danger to themselves or others, staff may use brief physical guidance to de-escalate the situation. This is a last-resort safety measure and is never used as punishment.
Liability – Release – Waiver
This section applies to all Explore It! programs, whether in person or online.
By registering in an Explore It! program, parents and guardians agree to release, indemnify, and hold harmless Explore It! Inc., its directors, employees, instructors, and contractors from and against any claims, liabilities, or losses arising from participation in the program.
This includes, but is not limited to:
- Personal injury
- Property damage
- Accidental loss
- Any other incidents that may occur during participation in activities, whether in person or online
This release applies to all Explore It! programming unless otherwise stated in writing.

Online Programming Terms & Conditions
Please note: If schools are forced to go to online learning during our programming term, we will do the same, transitioning all of our sessions to an online delivery and modifying the program expectations accordingly. Refunds will not be offered, although credits may be requested at the discretion of an Explore It! Director.
Terms and Conditions for Online Programming:
By registering a child/student in any Explore It! Inc. (Explore It!) virtual/online program, camp, session or lesson, you (the Primary Parent/Guardian Contact) are agreeing to the following Policies, Terms and Conditions:
Privacy Policy:
Explore It! takes your family’s privacy seriously. Our full Privacy Policy—covering both in-person and online programming—includes details about how we collect, use, protect, and share personal data.

Care, Supervision and Safety:
Note that online programming cannot serve as, and does not replace in-home/in-person child-care and/or supervision. You (or a parent or guardian or adult that you designate) are responsible for the child/student registered in our (Explore It!) online sessions. You agree to ensure that you, or a designated parent/guardian/adult, will be present in the same location as the registered child/student at the time of any and all online sessions. Should an emergency occur, we (Explore It!) will make every effort to contact you or the designated parent/guardian/adult listed by you during the registration process. Regardless of the circumstances you as the Primary Parent/Guardian Contact are responsible for the care, supervision and safety of the registered child/student.
Virtual Programs:
We (Explore It!) are committed to maintaining a safe and positive learning environment for all participants.
Supervised Account Creation:
Personal Zoom accounts, which are required to participate in virtual camps, programs and sessions, must be created and administered by a parent or guardian. Students under the age 18 may not create a Zoom account, based on the terms of service laid out on zoom.us.
Best Practices for Using Zoom in Your Home
- Set up your lessons in a supervised area, as opposed to a closed room. This allows parents to easily monitor their children’s experience.
- Clear the immediate area around your device to allow for a neutral background.
- Show the registered child how to turn off their microphone and video, should they wish to do so at any time.
- Make other family members aware that the registered child will be participating in a virtual meeting, so they may avoid appearing in the background, if desired.
- Talk to the registered child(ren) about appropriate conduct in a virtual setting. Explore It! has a zero-tolerance policy for inappropriate language and behaviour, included but not limited to swearing, discriminatory language, adult or discriminatory images, or any other conduct deemed inappropriate for participants under the age of 18. Any such conduct will result in the student’s removal from the virtual camp, program, lesson or session.
Explore It! Zoom Practices:
All our virtual programs, camps, sessions and lessons will be held over Zoom. Each meeting has a unique link and password to keep meetings private. We have enacted a number of extra security features to maintain your privacy such as:
- Disabling the chat function that allows users to chat with each other privately; students may only chat with the meeting host (either an instructor or Explore It! administrator).
- Disabling the option for meeting participants to change their display name.
- Creating a waiting room so that only approved participants may enter the meeting.
- Disabling the option for meeting participants to record their own copy of the lesson.
- Enabling the option for the meeting host to “lock” the meeting room, which does not allow any new participants to join the meeting once it has started.
- Enabling the option for the meeting host to expel a participant from the meeting if necessary.
- Enabling the meeting host to mute participants or turn off participants’ videos.
- Disabling the option for meeting participants to share their screen or computer sound during the lesson.
- Recording lessons for safety and quality control.
Communications:
At Explore It!, we communicate with families in a timely and professional manner. Our primary method of communication is email. We use phone calls only for urgent or time-sensitive matters. Please note that we do not communicate via text messaging.
By registering your child in an online program, you agree to:
- Provide a valid and regularly monitored email address and phone number.
- Ensure that emails from the @exploreitall.ca domain are not filtered into spam or junk folders.
- Respond to requests for information or confirmation in a timely manner.
- Designate another adult if you are not the primary contact during your child’s participation.

Allergies/ Special Needs:
Explore It! is committed to supporting a safe and inclusive online learning environment. When registering your child, please inform us of any medical conditions, learning needs, or behavioural considerations that may impact their participation in a virtual program.
Please note:
- It is the responsibility of the parent or guardian to ensure appropriate supervision and support is provided at home during each session.
- While we aim to accommodate individual needs where possible, Explore It! reserves the right to determine whether a child’s needs can be supported in a group virtual format.
If you have questions about your child’s participation, we encourage you to contact us in advance of the program start date.
Attendance and Participation:
Attendance and participation in online programs are the responsibility of the parent and child. Please ensure your child is available and ready to participate at the scheduled start time.
To support a smooth experience:
- Please log in 5 minutes early; the first few minutes of each session will be used for check-in.
- We strongly recommend testing your device and internet connection before the program begins.
- No make-up time or credits will be offered for late arrivals or missed sessions.
- If you experience technical difficulties accessing a session, please email info@exploreitall.ca immediately.
Parents or guardians must be nearby during online sessions to ensure safety and support, particularly for younger children or those with additional needs.
Photos and Recording:
Explore It! Inc. may occasionally take photographs or video recordings during programs to be used for internal documentation, staff training, and promotional purposes, such as on our website, social media, brochures, or school-based displays.
All such images or recordings will be used solely by Explore It! Inc. and will never include identifying personal information (e.g. names, contact details) without your explicit written consent.
By registering your child in an Explore It! program, you acknowledge and agree that:
- Your child may be photographed or recorded while participating in a program.
- These images or videos may be used in Explore It! promotional or archival materials, in both print and digital formats.
- You may opt out of promotional use by notifying us in writing at the time of registration.
Note: This policy applies to both in-person and online programs. For online sessions, recordings may also be made for safety, quality assurance, and training purposes. These recordings are stored securely and deleted after the programming season.
Special Note for Musical Theatre Programs

- Disruptive behaviour, inappropriate language, discriminatory comments, or sharing of adult content is not permitted.
- Participants should join sessions on time, with their video and audio settings adjusted as needed to support focused participation.
- Parents are encouraged to be nearby, especially for younger children or those requiring additional support.
Consequences:
- Explore It! reserves the right to remove a participant from a session (temporarily or permanently) if their behaviour disrupts the learning environment or violates the program’s expectations.
- In such cases, no refund or credit will be issued for missed sessions.
